How to name home documents so you can actually find them later

Most documents are unsearchable because of what they were called when saved. Here is the fix — and what MyHome is building to make it automatic.

You uploaded the document. You know you uploaded it — it was the renewal notice from your insurer, or the letter confirming the boiler was serviced, or the certificate you needed to keep somewhere safe. And now, a few months later, you cannot find it.

The file is not missing. The problem is the name. At the moment you saved it, you accepted whatever the scan app, email client, or browser offered: something like "scan0047.pdf", "document_20240918.pdf", or the unedited subject line of an email forwarded to yourself at eleven o'clock at night.

Why renaming everything yourself does not hold up

The obvious fix is to rename documents as you upload them. Most people intend to. The problem is that it introduces a separate decision for every single file — a small piece of friction that feels manageable until it compounds.

Renaming well also requires time and context. After scanning a letter at the kitchen table while keeping an eye on dinner, the last thing you want is to carefully consider the ideal filename convention. So you skip it, and the backlog builds. After six months, a third of your document library is filed under names that mean nothing, and no search can help you because there is nothing useful to match against.

Batch-renaming later is worse. Sitting down to rename fifty documents from scratch — without being sure what half of them are — is exactly the kind of task that gets deferred indefinitely.

Good intentions are not a system. The gap between how you mean to name things and how you actually name things, under real conditions, tends to be large.

What changes when the document names itself

How AI Document Naming will work

Here is what the process will look like in practice:

  1. Upload the document — add a PDF, image, or scan to MyHome in the usual way. Drag and drop, upload from your device, or let Inbox Watcher capture it automatically from your email.

  2. OCR reads the content — MyHome processes the document and reads the full text. This is what makes naming possible: the system knows what is actually inside the file, not just the name it arrived with.

  3. A name is suggested — based on the document content, MyHome proposes a clear, descriptive name. Something like "Aviva Home Insurance Renewal 2025–26" rather than "policy_doc_final.pdf".

  4. Review and confirm — the suggestion is a starting point. Accept it, adjust it, or keep the original. The choice is yours.

  5. The document is filed under the right name — once confirmed, the document is properly indexed in your library and becomes fully searchable and retrievable when you need it.

Which plans will include AI Document Naming

AI Document Naming will be available on Pro (£4.99/month) and Duo (£6.99/month) plans. Both include full OCR processing, which is the foundation the naming feature depends on.

Pro gives a single user access to the complete AI stack — OCR, HomeMind, Inbox Watcher, AI Insights, and AI Document Naming — across up to 5,000 documents and 5GB of storage.

Duo extends that to two users sharing a household library at £6.99/month. Particularly useful when both people upload documents and neither wants to be responsible for naming everything consistently.

The Free plan does not include OCR, so AI Document Naming will not be available at that tier.
